General information

We are currently seeking a highly organized, detail-oriented, and tech-savvy Personal Assistant to support the Managing Director (Azerbaijan). The ideal candidate will be proactive, adaptable, and capable of combining executive-level administrative support with process optimization and digital workflow management.


Position: Personal Assistant
Location: Baku, Azerbaijan
Schedule: Full-time

Key Responsibilities:

  • Provide comprehensive administrative and operational support to the Managing Director in day-to-day tasks.
  • Assist in managing workflows and ensure that all tasks and projects are completed on time and with attention to detail.
  • Create, implement, and oversee automation systems to enhance the efficiency of internal processes and reduce manual work.
  • Develop and implement digital solutions to optimize workflows, document management, and communication within the organization.
  • Organize and manage internal document circulation, ensuring all documents are properly processed, filed, and easily accessible.
  • Coordinate and monitor ongoing tasks and projects, ensuring all deadlines and objectives are met.
  • Prepare, systematize, and analyze information for regular reports, analytics, and project updates.
  • Provide the Managing Director with regular progress updates and highlight any potential issues or risks.
  • Coordinate activities between internal teams and external contractors, ensuring smooth communication and issue resolution.
  • Prepare accurate and up-to-date documentation, presentations, and reports for management review.
  • Handle sensitive and confidential information with the utmost professionalism and discretion.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Minimum 2–3 years of experience as a Personal Assistant, Executive Assistant, Project Coordinator, or in a similar role.
  • Strong organizational and multitasking skills, with the ability to manage various tasks simultaneously while maintaining a high standard of work.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with digital workflow or automation tools is a plus.
  • Excellent communication and interpersonal skills.
  • Experience in document management, report preparation, and process optimization.
  • Fluency in Azerbaijani and English; knowledge of Russian is an advantage.
  • Ability to handle confidential information professionally and maintain discretion at all times.
  • High level of initiative, accuracy, and responsibility.
