Key tasks:

  • Establish a systematic and comprehensive filing system relating to HSQE and compliance
  • Assist in the documentation, update and controlled dissemination of Business Management System, Processes, Procedures and Work Instructions.
  • Support internal Subject Matter Experts with the creation, formatting and revision of documents held within the LV Logistics Management System.
  • Ensure that UK electronic record files as required, are maintained in good order to comply with Quality Management requirements.
  • Archiving and retrieval of historical documentation.
  • Ensure the timely delivery of electronic generated documents and databases through the competent use of various software packages, i.e. SharePoint, Word, Excel, PowerPoint, and Visio.
  • Monitor the effectiveness of Document Control processes and where necessary, identify and implement improvements to maintain DC efficiency.
  • Coordinate the completion of Pre-qualification and assist with tendering documentation, maintain a register of same.
  • Ensure all company registrations are maintained and up to date.
  • Assist with internal auditing of UK offices when applicable.
  • Support the UK Senior HSE Advisor and UK Quality coordinator with evaluation of internal and external compliance requirements.
  • Where appropriate support the UK HSSQE department with administrative tasks.
  • Carry out all reasonable management requests.

Qualification & Skills:

  • Knowledge of MS Office packages crucially SharePoint
  • Knowledge of Adobe
  • Communication skills - both written and verbal
  • Skills in word processing, spreadsheets, database applications and Electronic Document Management Systems
  • Excellent attention to detail and Organisational skills
